Part-Time Church Secretary
Providence Presbyterian Church of McGee’s Crossroads is seeking a Christian individual to serve as part-time secretary. In addition to the responsibilities in the attached Job Description, this individual will need to have good people skills and feel comfortable dealing with both church members and the general public. A working knowledge of Microsoft Word is required, and familiarity with Microsoft Excel would be a plus.
Purpose: To provide administrative and secretarial services to the pastor, other paid staff members, Session, committees and congregation as requested.
Accountability: Accountable to the pastor as head of staff and to the Session.
Responsibilities: Perform the function of secretary to the pastor and other paid staff, Session, and committees, including all typing, filing, routine correspondence and maintenance of calendar.
Responsible for answering the phone during appointed hours.
Type, print and copy bulletins for all services performed at the church, including Sunday worship services, children’s bulletins, special services, and funeral services conducted by the pastor or the visiting pastor. This includes any inserts for the bulletin.
Prepare the sanctuary for weekly worship services by changing pulpit scarf to reflect the liturgical colors of the Church; placing scripture and hymn selection on the two information boards at the front of the sanctuary; keep altar candles replenished as needed; place the bulletins and children’s bulletins in the vestibule.
Coordinate with the Webmaster in the production of the monthly newsletter, Presbyterians at the Crossroads. This includes gathering information of activities taking place during that month, monthly birthdays and anniversaries, and the monthly calendar.
Upon receipt of memorial contributions, coordinate with the church treasurers to handle correspondence, including: sending a notification letter to the family informing them of the names and addresses of everyone who has made a donation in memory of their loved one; and sending an acknowledgement letter to the donor, thanking them for their contribution and documenting the contribution amount for their use in income tax preparation. (A letter is not sent to any church member who makes a contribution. This information is included in the letter that they receive from the treasurer at the end of the year stating how much they have contributed to the church in that year.)
Be responsible for the maintenance and upkeep of the copier and folding machine, serving as a contact person for service and repair of these machines.
Be responsible for the ordering of Worship supplies, including: altar candles, Advent candles, and poinsettias for the Advent season.
Work with the Website Administrator to maintain a permanent directory for the church of active members, baptized children, and regular attendees that is updated at least annually. This directory includes names, addresses, contact information, birthdays and anniversaries
Be responsible for typing, copying and mailing the Homecoming invitation each year. Maintain the mailing list for Homecoming invitees.
Be responsible for the ordering of office supplies and equipment, including: stationary and envelopes, paper (for bulletins and copier) and toner, etc.
Set deadlines for receipt of information, including church bulletins, announcements, letters to congregation, etc.
Send email notifications to the congregation as directed by the pastor, session and other congregation members.
Create and distribute schedules for layperson participation in worship, acolytes, ushers, children’s church volunteers and nursery keepers. This is done in coordination with the leaders of each of these programs and is communicated to the Website Administrator. E-mail weekly reminders to the volunteers for Sunday School and Worship. Perform other duties as determined by the session.
Relationships: The church secretary is accountable to the pastor, as head of staff, and to the session. The church secretary relates to other staff in the performance of his/her responsibilities.
Evaluation: Performance reviews will be conducted annually by the pastor as head of staff and the Personnel Committee. The Personnel Committee will annually review the adequacy of compensation and make a recommendation to the Session.
Compensation: $12 per hour
Hours: 20 weekly
